When your group arrives at Charlotte Douglas, the process is streamlined but requires precise timing. CLT does not allow charter buses to idle at the curb for more than a few minutes. To ensure a seamless pickup, we recommend that the group leader collects all checked bags from the carousels on the lower level and gathers the entire party before contacting the driver. Once your group is together, walk toward the baggage claim exits and follow the signs for "Ground Transportation" and "Charter Buses."
The designated charter bus pickup zone at CLT is located on the lower level (Level 1), specifically at Zone 6. This area is dedicated to motorcoaches and large shuttle vehicles. Unlike the passenger pickup lanes which can become a bottleneck of personal cars and rideshares, Zone 6 is designed for the length and turning radius of full-sized coaches. Our buses must enter via the commercial vehicle lane, which bypasses much of the standard terminal traffic.
Specific pickup instructions per concourse:
- Concourses A, B, and C: Exit through the doors nearest your baggage carousel and follow the underground tunnels or cross the roadway to the commercial vehicle pickup area at Zone 6.
- Concourses D and E: These concourses are located further east. Follow the signage toward the center of the terminal, then descend to the baggage claim level and exit to Zone 6.
Note: The drivers are required by TSA and airport security to remain with the vehicle at all times and cannot enter the terminal to assist with baggage. If you require "Meet and Greet" service where a representative holds a sign at baggage claim, please request this specifically during your booking process.

Located just 15 minutes north of Charlotte, Concord-Padgett Regional is a popular alternative for groups flying via Allegiant Air or those arriving on private charters. It is the closest airport to the Charlotte Motor Speedway and the numerous NASCAR team headquarters in Mooresville. Because it is a smaller facility, it offers a much more relaxed environment than CLT. Traffic on I-85 and the Billy Graham Parkway can be extremely heavy during morning and evening rush hours (7-9 am and 4-6:30 pm). Additionally, construction on the I-85/I-485 interchange can cause unexpected delays. We highly recommend adding a 30-to-45-minute buffer to your travel time if you are catching a flight during these periods. Your driver will use real-time GPS to navigate around congestion on Wilkinson Boulevard, but a time cushion is always the safest bet.
How early should a group arrive at the airport?
For domestic flights at CLT, we recommend arriving at least 2.5 to 3 hours before departure. Security lines at Concourse A and the main Atrium can fluctuate wildly. For international flights departing from Concourse D, arrive 3.5 hours early. If your group is checking heavy sports equipment or musical instruments, factor in an additional 30 minutes for the oversized luggage check-in process.

The best meeting spot at CLT is the Baggage Claim area for your specific airline.
